Procedures for Application and Admission
We encourage communication by e-mail as the quickest and most cost-effective means. Our procedures are conducted by the Management Staff:
- Head of School, Yasmeen Sharks (YS)
- Marketing Manager, Khalid Sharks (KS)
- Administrative Assistant, Amanda Foley (AF)
Preliminary Enquiries
- International Agents can e-mail or phone the college regarding general enquiries or course information
- If the Agent requests information about the procedure or requirements, details will be given to KS or YS who will respond.
- All enquiries are saved on the main computer system.
Procedure for Application
- Application forms can be e-mailed or posted to the college and must be accompanied by the following documents:
- Copies of licence to operate as an agent
- 3 References
- Applications from International Students will first be checked to confirm that the applicant has sufficient funds and English language capability to meet the course entry requirements.
- Ideally, agents should be trained by the British Council or accredited by QISAN or PIER.
- YS will send a Request for Reference letter to the confirmed References
- If the requirements were not met, a letter will be sent to inform the Agent that the application cannot proceed. vIf entry requirements have been met and the Agent is in their own country, YS will conduct a telephone interview. If the Agent is in the UK, AF will be instructed to send the Agent an e-mail confirming that their application has been approved and inviting them to come for an interview .
- AF will create a file for the new Agent to contain all relevant correspondence and other documents. She will also set up a new record on the computerised database.
Communication Requirements
- To be able to deal effectively with student recruitments and maintain good communication with the Marketing Manager of Radcliffe College, Khalid Sharks, and other member s of the Management Staff.
- To maintain good communication with the Visa Departments and offices within the home country in order to be able to recruit students without obstacles, keeping up to date with all legal requirements.
- To discuss any issues or future plans with the Marketing Department. This is the point of contact with the responsibility to ensure that all requirements are taken into account.
Addresses
- nsure that Radcliffe College is aware of any address or information change for the agency, and that all relevant contact details are regularly updated.
Courses
- It is important that you are to provide all updated course and admission information to students when starting recruitment procedures.
- Whenever recruiting new students and providing course information, be sure to display the Radcliffe College logo on any published material as well as the website link for students to gain access to course information ( http://www.radcliffecollege.co.uk ).
- Before using the Radcliffe College logo on marketing material for recruiting overseas students, discuss it in draft with the Marketing Department to confirm that everything is well structured
- Any updated course information or contact details will be sent to you when necessary to facilitate your work of recruiting students.
Admission
- You will receive all necessary enrolment information So that you can inform potential students and give them their best chance of a successful application.
- Radcliffe College expects you to provide the student with all enrolment details and admission standards before consulting with the college about an admission to ensure that the student understands and accepts those matters. It is important that you provide reliable information to students and have their assent before you give their details to the college as an upcoming recruitment.
- You must provide Radcliffe College with all of a student’s recruitment information so that we can facilitate the process of enrolment.
- All applications to study at Radcliffe College must be submitted to YS or KS, in person if possible or by e-mail, post or telephone.
- Once applications have been submitted and reviewed, you will be informed of the outcome.
Fees
Once the initial application and enrolment process has been completed, you should instruct the recruited student to pay their fees directly into the College bank account (Bank Account details?). Once the fees have been paid, you will be given your commission.
Refunds
Successful applicants who are refused visas in their home country, or who have to withdraw from their course at Radcliffe College for other extenuating circumstances, need to notify the College and the UKBA within seven days of the visa refusal or at least 3 weeks before their course begins. To obtain a refund, they must provide reliable evidence of why they cannot carry on with the course. Refunds will take approximately six weeks from request to payment. A processing charge of 40% of the tuition fees will be imposed. All information related to refunds will be recorded and filed.
Ethical Requirements
- To be committed to providing an honest, appropriate and fair recruitment experience for international/ overseas students, taking all college procedures into consideration.
- To ensure that Radcliffe College receives at all times the administrative support it needs to facilitate the procedures of recruitment and enrolment.
Training Requirements
- To ensure that any training required is undertaken by government-approved companies/ organisations. An example is the British Council Agent Training Programme, where agencies are shown how to recruit students according to the right standards.
- To know and understand all the local and central legal regulations so that you are able to recruit students and obtain licences without obstacles.
- Be familiar with any other information about courses and enrolment procedures provided to you by Radcliffe College.
Quality Assurance
Radcliffe College aims to offer the highest standard of service to our students and their representatives. To ensure that, we welcome any feedback which may assist us to fulfil your expectations more effectively. Please inform KS or YS of your own or any student comments that may help us to deliver the best possible service and develop it further .
Monitoring of Agents
Agents will be monitored on their performance in recruiting students. The agent is required to visit the college annually for a meeting with KS who will discuss the following results in a report which he compiles from the following information:
- Number of applications received against enrolments
- Number of enrolments against completion and success in course
- English language level of their students
- Academic suitability of their students
- Financial viability of their students
- Feedback from students about the agent
- Quality of applications received
If KS believes the Agent is not supplying a satisfactory service, a meeting with YS will be arranged to decide whether the Agent’s contract should be terminated.
